Our onboarding process is designed to help us understand your needs, define clear project goals, and get started on the right foot. Below is a breakdown of what you can expect during the onboarding process.
1. Initial Consultation
The first step in our onboarding process is a consultation. During this meeting (in-person or virtual), we will:
- Discuss your project goals, vision, and expectations.
- Understand your target audience, industry, and specific needs.
- Review the type of website you require (e.g., business site, e-commerce, portfolio, etc.).
- Answer any questions you may have about our services and process.
This consultation helps ensure that we’re on the same page and that we’re the right fit for your project.
2. Proposal & Scope of Work (SOW)
After the consultation, we’ll provide you with a detailed proposal and a Scope of Work (SOW) document. The SOW will outline:
- Project deliverables – What we’ll create or update.
- Timeline – Estimated timeframes for completion.
- Client responsibilities – What we need from you, such as materials, feedback, and approvals.
- Revisions included – The number of revisions agreed upon.
Once you review and approve the proposal, we’ll move forward with the project. Any changes to the scope of work after this point may result in additional charges, which will be discussed and agreed upon in writing.
3. Onboarding Questionnaire
To help us gather the necessary information for your project, you’ll be asked to complete an onboarding questionnaire. This form will include questions about:
- Your branding and design preferences.
- Any content you already have (e.g., text, images, logos).
- Specific features or functionalities you need (e.g., e-commerce, contact forms, galleries).
- Any existing website (if applicable) that needs to be revamped or updated.
The more detailed you are, the better we can tailor your website to meet your needs.
4. Contract & Payment
Once the proposal is agreed upon, we will send you a contract outlining all terms, including:
- The agreed scope of work.
- Payment structure (deposit, milestones, final payment).
- Timelines and project deadlines.
A deposit is required to begin the project, with the remaining balance due upon completion, based on the payment schedule outlined in the contract.
5. Project Kickoff
After the contract is signed and the deposit is received, the project officially begins. We will:
- Assign a dedicated project manager to ensure everything runs smoothly.
- Begin work on the website, based on the agreed Scope of Work.
- Provide you with regular updates and ask for feedback at key milestones.
You will have access to our project management platform, where you can track progress, share documents, and communicate with the team.
6. Collaboration & Feedback
We believe in a collaborative approach, so throughout the project, we will:
- Request your feedback at different stages of the design and development process.
- Make revisions based on your input, within the scope defined in the SOW.
- Keep you informed of progress and any potential delays due to scope changes or delays in receiving materials.
7. Review & Final Approval
Once the website is ready for launch, we’ll request your final approval. You’ll have the opportunity to:
- Review the website in its entirety.
- Test all features and ensure everything works as expected.
- Request any final revisions, within the agreed scope.
Once we receive your approval, we’ll prepare the website for launch.
8. Launch & Handover
Upon final approval, we’ll:
- Launch the website and make it live.
- Provide you with all necessary credentials and instructions for managing your website, including access to the backend, hosting details, and any required training.
- Provide you with ongoing support for a defined period after launch (as per the terms agreed).
Any further changes or updates after launch will be treated as new work and billed accordingly.
9. Ongoing Maintenance & Updates
If you’ve signed up for ongoing maintenance or update services, we will continue to support your website as needed, ensuring it stays up-to-date and fully functional.
